Current exhibitors and suite holders will find the same to-do’s detailed below in their exhibitor portal task list (Conference Harvester), please use and reference the task list to complete all outstanding items ahead of their due date to ensure your exhibit space is ready for the show. Review early and take steps to ensure you meet all deadlines.

PREP TO ATTEND

  • Confirm your company information is accurate and up to date
  • Confirm your company contact information
  • Register your attendees (both complimentary and additional registrations)
  • Make sure your company is accurately reflected in our event directory – enter your product and services categories
  • Book your hotel stay through our dedicated Hotel Room Block at Harrah’s Las Vegas or Caesars Palace. This link is in your exhibitor profile as well as in the confirmation email sent when you register your personnel. NOTE: If you need assistance booking your stay, please contact Catherine Ontko at Catherine.ontko@wswa.org.

SHIP YOUR ALCOHOL PRODUCT

Alcohol Shipping Regulations

Nevada is a primary source state. If your product is registered in the state of Nevada, you must use your registered wholesaler to clear and deliver product for Access LIVE. Please review the Alcohol Beverage Product Handling Guidelines for more information if your product is registered with a wholesaler other than the two WSWA member wholesalers noted below.

REMEMBER! Freeman cannot accept alcohol beverage product shipped to their warehouse. Caesars Forum will not accept alcohol beverage product shipped directly to the hotel or delivered to their dock. You may not walk or carry alcohol beverage product directly into Caesars Forum, Harrah’s Las Vegas, or Caesars Palace. Product that is found to be in violation may be confiscated and will be subject to the appropriate taxation. 

Additionally, please download and complete your Alcohol Beverage Product List (excel file) and return to hanna@wswa.org (applicable to all companies sending alcohol product to the show, whether in a booth, suite, sponsorship and/or competitions)

International Exhibitors: If your alcohol beverage product is coming into the United States and is not yet registered in the U.S., you must complete a COLA waiver form to have either Breakthru Beverage Group or Southern Glazer's Wine & Spirits obtain a COLA waiver on your behalf for your alcohol beverage product(s). We also HIGHLY recommend the use of a customs broker to clear your product once it arrives in the United States. If you do not have a customs broker, we recommend our preferred vendor Southern Glazer's Wine & Spirits.

LABEL YOUR MATERIALS ACCURATELY

Destination labels are necessary to ensure your product is delivered to the accurate location at Caesars Forum. Please be sure to label each case being shipped to Access LIVE with the appropriate destination label, based on where your product should go.

NOTE: ALL Competition product MUST be shipped separately from product going to suites or booths.

Non-Alcohol Destination Labels can be found in the Freeman Exhibitor Service Manual along with labels for other events throughout the show. Please see exhibitor kit for additional labels.
