Ship Your Materials (Non-Alcohol & Point-of-Sale Items)
The below provides an overview of the shipping instructions for all non-alcohol items to Access LIVE. More detail, including shipping instructions, addresses, and deadlines can be found in the Freeman Shipping & Material Handling Information.
- Please use the appropriate Material Handling Shipping Labels when sending both advance and on-site freight. Labels are located in the Freeman Exhibitor Services Manual.
- All non-alcohol items must be sent through FREEMAN and NOT through a wholesaler. This includes water, mixers, and other “in-the-bottle” products that are alcohol free.
Any advance freight that is received after January 22, 2027 will be considered LATE ADVANCE DELIVERY and additional Freeman fees will apply.

Freeman Material Handling Fee Schedule
January 4 - 22, 2027*: | Standard window for arrival of freight to Freeman Advance Warehouse | Standard rate | $2.30 per lb |
January 23 - 31, 2027: | Late window for arrival of freight to Freeman Advance Warehouse | Late rate | $2.88 per lb |
February 1 - 3, 2027: | Ship freight direct to Gaylord Texan property | Onsite rate | $2.30 per lb |
*NOTE: Please do NOT ship freight to Freeman's warehouse before January 4, 2027.

Due to Union Jurisdictions, all Exhibitors and Main Street Suite holders will be responsible for time and materials for any furniture and décor orders for their suites. All furniture and décor orders sent to Freeman advance warehouse will be billed as Material Handling. More detail can be found here.
