Alcohol Shipping Guidelines

See below for all information regarding shipping your alcohol to Access LIVE and alcohol product handling on-site while at the show. Guidance varies based on the following scenarios:

  1. Your Product is Currently Distributed in Colorado
  2. Your Product is Distributed Domestically, but NOT in Colorado
  3. Your Product is NOT Distributed Domestically (including Colorado)

Instructions vary based on the distribution status of your product. Please review the option that best describes the status of your product below and follow the corresponding instructions carefully.

Note for all exhibitors & sponsors:  Please download and complete your Alcohol Beverage Product List (LINK COMIG SOON) (excel file) and return to exhibits@wswa.org as soon as possible (applicable to all companies sending product to Access LIVE whether in a booth, suite, sponsorship, TASTE, or competition).

Your Product is Currently Distributed in Colorado

  1. If your product is currently distributed in Colorado with a wholesaler, you must use that wholesaler to facilitate delivery to Gaylord Rockies Resort & Convention Center. Please be in touch with your current CO wholesaler. Destination labels will be available in the coming months for ease of shipping & handling/delivery.
  2. If your product is self-distributed in Colorado, your team can deliver directly to Gaylord Rockies Resort & Convention Center by coordinating with Freeman (contact info coming soon). If you would like to use a wholesaler associated with Access LIVE (by temporary contract), please contact one of our preferred wholesalers.

    • Republic National Distributing Company (contact info coming soon)

Your Product is Distributed Domestically but NOT in Colorado

If your product is produced, distributed, or imported domestically but not in Colorado you must use LibDib to facilitate delivery to Gaylord Rockies Resort & Convention Center. The LibDib team will use their partnered importer and process to assist with product delivery. 

Destination labels, inventory pull forms, and further alcohol shipping guidelines will be available in the coming months for ease of shipping & handling/delivery.

Your Product is NOT Distributed Domestically (including Colorado)

If your product is not currently distributed domestically, including in Colorado, and you do not use a U.S. wholesaler, you must use Southern Glazer’s Wine and Spirits (SGWS) to manage/facilitate the importation and COLA waiver process for your product.

Onsite Alcohol Beverage Product Handling Services through Freeman

REMEMBER! Freeman cannot accept alcohol beverage product shipped to their warehouse. Gaylord Rockies Resort & Convention Center will not accept alcohol beverage product shipped directly to the hotel or delivered to their dock. You may not walk or carry alcohol beverage product directly into the venue. Product that is found to be in violation may be confiscated and will be subject to the appropriate taxation. 

Freeman will receive all alcohol beverage product at Gaylord Rockies from Colorado wholesalers, store and deliver to Access HQ (Exhibit Hall), Main Street Suites, TASTE, competitions and other special events.

Be sure to use the correct label that corresponds with your delivery location.

Onsite Alcohol Beverage Product Handling

Exhibitor Alcohol Delivery

The Product Distribution Center will be located onsite on the main floor of the convention center near Access LIVE registration and will be open before and throughout the show for exhibitors to retrieve product.

Exhibit Hall product will be delivered directly to your booth in the exhibit hall on Monday, February 3, 2025. If product does not arrive in a timely manner, please go to the Product Distribution Center.

All Main Street Suite holders must check-in at the Product Distribution Center to identify their product and to arrange for the delivery of their product to their respective location once they check in on site. Please note: Main Street Suite holders must have someone present in the suite to accept the product in the suite at time of delivery.

If your product has a TASTE destination label affixed, it will be delivered directly to the TASTE reception location on Tuesday, February 4, 2025.

TASTE participants may also “walk” product into the TASTE event after 4:30pm on Tuesday, February 42025.

Delivery charges for Exhibit Hall, Main Street Suite, TASTE will billed to the exhibiting company at a per case rate determined by Freeman. 

Upon request, Freeman will move product for Exhibit Hall and Main Street Suites to the TASTE event (after initial delivery) at a per case rate.

To help properly manage the labor needed and to assist in timely delivery, please visit the Freeman Exhibitor Services Manual and enter an estimate of number of deliveries needed. You will also find applicable rates for delivery and additional services as needed.
