Yes! Please note onsite registration fees are higher.

No, you do not have to be a WSWA Wholesaler Member or WSWA Associate Member to attend or exhibit. WSWA members, whether Wholesaler or Associate, pay a lower registration fee than non-members and receive discounts on exhibit booths. First time Non-Member Wholesalers must be approved to attend for a discounted rate by the WSWA Vice President, Membership and Data Services, Bob Wiggans. Please contact Bob at bob.wiggans@wswa.org for more information.

Confirmations are sent by email to the email address provided online during registration. Please check your spam for confirmation. If no email has been received, contact registrations@wswa.org as soon as possible to confirm your registration.

There are no individually ticketed events. Anyone who would like to attend an event must register for the full show.

Registered attendees may attend all events listed on the schedule of events, unless the events are noted as invitation only, RSVP only, or closed. Open events include but are not limited to Celebrate LIVE, TASTE, Main Stage and LIVE Stage sessions, Brand Battle and Ovation LIVE.

Note: Model and Bartender badge holders are only permitted to enter Exhibit Halls, Main Street Suites and TASTE.

LIVE Stage sessions are open to all registered attendees and are located in Access HQ, the exhibit hall (Longhorn Ballroom). Exciting speakers will take the stage hourly while the exhibit hall is open. Visit our schedule of events for the latest programming details.

Yes. You can choose your check-out date when making your reservation through the housing link found in your confirmation email. If you have any challenges with extending your stay, please reach out to the WSWA meetings team at registrations@wswa.org for help.

The event attire is both business casual and business, depending on personal preference. All events will be held indoors in air-conditioned spaces, so please dress accordingly.

Badges and lanyards are color and category coded.

No, there are no group discounts.

If paying in advance, WSWA accepts American Express, Discover, MasterCard, VISA, Checks, Bank and Wire Transfers. If paying on-site, WSWA accepts all credit cards previously listed or cash. Checks and wire transfers cannot be accepted on-site.

Sponsors and exhibitors will receive a list of all attendees approximately one month prior to the show and then again a few weeks post-show. All attendees will have access to the attendee list in the Access LIVE app, once live.

Yes. Everyone must wear an official Access LIVE 2027 badge to enter Access HQ (the exhibit hall) and all Access LIVE events. Security is strict and will not allow access to any parts of the show, beyond registration, if you do not have an Access LIVE 2027 badge.

You will receive your show badge when you check-in at the WSWA Registration Desk near the main Gaylord Texan Convention Center entrance. Badges will not be mailed in advance of Access LIVE.

Email registrations@wswa.org if you notice there's a mistake on your badge name listed during registration. On-site, simply ask one of the WSWA staff at the Registration Desk to reprint your badge.

There will be a $125 Lost Badge Replacement fee. Please see WSWA staff at the Registration Desk for assistance.

We recommend using either taxicabs, Uber or Lyft. These are all easily secured at both the hotel and the airport. If you prefer Uber or Lyft, be sure to download the app before arrival in Texas to expedite your transportation request.

Yes, you must make all housing and suite reservations through the reservation link to receive the group rate at the host hotels for Access LIVE.

All hotel rooms and suites must be cancelled at least 7 days in advance in order to be refunded for your first night’s room deposit. All cancellations within 7 days of your scheduled check-in will result in forfeiting your first night’s room deposit. All cancellations must be made in writing to the WSWA Meetings & Events Department at registrations@wswa.org.

Yes, the Gaylord Texan has a fitness center, spa and indoor and outdoor pools.

If you do not stay at the Gaylord Texan, you will forfeit the $379.33 hotel room credit (included in your registration fee). No exceptions will be made.

• A 100% refund (minus $100 processing fee) is available until October 9, 2026.
• A 50% refund is available from October 10, 2026 to December 11, 2026.
• No refunds are available after December 11, 2026.

If you need to cancel your hotel stay, please reach out to registrations@wswa.org. Please note if you cancel within one week of your arrival date, you will be charged one-night's stay. 

It is important to pay for your badge via your registration portal prior to the event. If you have not, we will have staff on-site to collect payment, but lines can be long. Remember, your badge will not print if you have not fully paid your registration fee.

WSWA will not trade, sell, or share your contact information with third party marketers without your consent unless required by law or as disclosed to you when the information is collected.  If you are approached by any external party offering to sell WSWA or Access LIVE contact lists, please reach out to us immediately. Be cautious of potential scams and always protect your information. 

No, WSWA does not use any 3rd party housing companies. All reservations for the show must be booked through the housing links on our website or in your registration confirmation email. If you are contacted by a 3rd party housing vendor, representing themselves as WSWA or one of host hotels, please contact us immediately. This is a scam. 

There are no one-day passes available. All attendees must register for the full show.

Access HQ Exhibit Hall is located in the Longhorn Ballroom on Level 1 of the Gaylord Texan Convention Center. 

Main Street Suite Room Locations:

*NEW this year: WSWA's Access LIVE paid registration fee includes one (1) hotel room night in a traditional guest room at the Gaylord Texan Resort & Convention Center. A credit of $379.33 (the $331 group rate, inclusive of resort fee, plus tax) will be applied to the eligible reservation at check-in. Any additional fees to guarantee a specific bed type (king or double), as well as room upgrades and associated charges, are the guest’s responsibility. 

Hotel accommodations are not automatically booked with registration. Each attendee must make their own reservation via the official Access LIVE reservation link by January 4, in order to qualify. If a qualifying reservation is not made, the hotel credit is forfeited and has no cash or alternative value. The name on the hotel reservation must match the attendee’s registration to receive the credit.

NOTE: WSWA does not work with third-party housing companies. All official Access LIVE 2027 hotel reservations must be booked through the links provided on our website or in your registration confirmation email. If you are contacted by a housing vendor claiming to represent WSWA or our host hotels, please notify us immediately at registrations@wswa.org — these solicitations are fraudulent.
